Request for Quotations
Depending on the
way you do business, sometimes you need to ask for prices from
different Suppliers before you can issue a Quote for your
customers. Here, you can ask prices from different suppliers. We
have an option that allows you to copy/paste hundreds of Items in
txt format, putting only Part Number, Quantity, then adding
description and cost, alleviating 1000% the data entry. From
Multi-Entry items, you can issue a Quotation or a Request for
Quotation.
Quotations
This module is
very important for any business; all the Quotations you made are
classified by date, customer, salespeople, and with Pending,
Accepted, or Rejected Status. This info is very useful when you
have a sales meeting or simply if you are analyzing your potential
sales and salespeople's closings. When the customer confirms the
Quotation, you are able to convert this document into a Sales
Order.
Sales Orders
When a Quote is
accepted is when a business starts moving for real, and the
program works in a flawless way. After converting the
Quotation into an SO with a single click, the system opens a Back
Order for each Item on the SO. If you have stock, the document may
be converted directly into an Invoice, or if you don't have stock,
you can convert the SO into one or more POs. Everything depends on
your needs.
Billing/Inventory
Depending on your
business model, for example, if you keep stock of the items you
sell, you can issue a Quotation. When accepted, you can convert it
into a Sales Order, the customer pays for the Sales Order, and
then the cashier sends the Invoice to the Customer for pickup. You
may want the Salespeople to be allowed to do only Quotation and
Sales Orders if you want that. When an Invoice is converted, it
takes the Inventory out automatically, updating also the kardex
table.
Accounts Receivable
Once you convert
a Sales Order into an Invoice, the system takes the Inventory out,
records the transaction on the kardex table, and creates an
Account Receivable, allowing you to send Invoices and or
Statements to the customer. When there are pending Invoices or
open balances, you can also create Debit and Credit Memos to
complement advance payments or extra charges to the customer for
any reason. When the customer pays or partially pays, you can also
have the correct balances on your FICCweb system..
Purchase Orders/Inventory
If your company
does not handle Inventory because, for example, you are a Purchase
Agent, then you can convert a Sales Order into a Purchase
Order(s), and then the system will open a "Back Purchase Order" to
inform you what items a given supplier owes to you. A PO could be
received completely or partially. Whatever the case is, the
FICCweb creates the Entry to the Inventory, the Entry recorded in
the Kardex, and the Account Payable, also in this precise moment,
cancels the Open Back Purchase Order open for the Items received.
Accounts Payable
When the FICCweb
System receives a Purchase Order(s), it creates the Entry to the
Inventory updating the balance of the Item, also creates the
record on the kardex table, and at the same time creates the
Account Payable according to the pre-established agreement with
the supplier, FICCweb has different inquiries to see your Accounts
Payable, in Summary, detail, per Supplier, pending or paid
documents, you can also use Debit and Credit Memos for Supplier to
reflect advance payments or surcharges yo may have.
Banks
This Bank's
module concentrates on the Income and the Expenses of your
business. Every time a customer pays an invoice, the money goes
automatically to a preset Bank/account on your FICCweb system, and
every time you pay a Supplier, the money is taken out from the
FICCweb Bank/Account you defined. You can deposit or transfer
money from one Account to another on your program, and withdraw
money for different reasons according to expenses and G/L
predefined accounts by the user when it creates the Chart of
Accounts.
